Gusto vs Rippling

Two of the most popular payroll and HR platforms for young US companies, built on very different ideas. Here is how to tell which one fits your team.

The short answer

Pick Gusto if you want the simplest path to accurate payroll, benefits, and onboarding, with published pricing and a product your office manager can run without training. Pick Rippling if you are scaling quickly, want HR and IT onboarding handled together, and expect to need custom workflows, global hiring, or device management within the next two years.

Both handle multi-state US payroll well. The real difference is philosophy: Gusto optimizes for simplicity, while Rippling optimizes for control and breadth.

How these two products got here

Gusto began in 2011 as ZenPayroll, a reaction to clunky small business payroll. Its whole product grew outward from that first job: run payroll in a few clicks, file taxes automatically, and give employees a pleasant place to see their pay. Benefits brokerage, onboarding, time tracking, and simple talent tools came later, always with the small business owner in mind.

Rippling took a different route. Founded in 2016, it started from the idea that an employee record should drive everything a company does for that person, including payroll, benefits, laptops, software accounts, and corporate cards. That is why Rippling's onboarding can create an email account and ship a configured laptop at the same time it sets up payroll. The approach is powerful, and it naturally attracts operations-heavy and technical companies.

Where Gusto has the edge

  • Simplicity. Gusto's interface is consistently praised by people who run payroll occasionally and want to get it right without thinking hard.
  • Predictable pricing. You can see Gusto's plan prices before you talk to anyone, which makes budgeting easy.
  • Small team fit. For a company under 50 people with no HR or IT staff, Gusto covers the essentials without extra complexity.
  • Contractor-only option. Companies that only pay contractors can start on a lighter plan.

Where Rippling has the edge

  • HR plus IT in one place. Rippling can provision apps and devices when someone joins and remove access instantly when they leave, which reduces security risk.
  • Workflow automation. Custom rules and alerts based on any employee data let operations teams automate tasks Gusto would leave manual.
  • Global hiring. Rippling offers global payroll and EOR, so international employees can live in the same system.
  • Room to grow. Rippling tends to keep fitting as companies reach several hundred employees with more complex needs.

Pricing and total cost

Gusto publishes its plan prices, so a 20-person company can estimate its monthly cost in minutes. Rippling's price depends on which modules you choose, and it comes from a quote. For a small team that only needs payroll and benefits, Gusto is often the cheaper option. For a company that would otherwise pay separately for an HRIS, a device management tool, an identity tool, and a spend tool, Rippling's bundle can come out ahead. The fair way to compare is a three-year total cost, including the tools each option would replace and the price at renewal.

Implementation, support, and switching

Gusto is usually self-serve. Most small companies are running payroll within a week, as long as they have year-to-date totals from their old provider. Rippling setups for small teams can also be quick, but companies using IT modules, custom workflows, or multiple countries should expect several weeks and should assign an internal owner.

Switching from Gusto to Rippling later is common for fast-growing companies. Moving at the start of a quarter or year keeps tax filings and W-2s simpler. Moving the other way is rare, because companies that adopt Rippling's IT modules have more to unwind.

Which one should you choose?

Choose Gusto if

  • You have fewer than about 75 employees and no plans for heavy international hiring.
  • You want published pricing and a quick, self-serve setup.
  • Your main needs are payroll, benefits, onboarding, and basic time off.
  • Nobody on your team has time to configure workflows.

Choose Rippling if

  • You are growing fast and expect to pass 150 employees within two years.
  • You want laptops and software access tied to hiring and termination.
  • You hire outside the US or plan to soon.
  • You have an operations or people ops lead who will own the system.

Run a fair head-to-head demo

Give both vendors the same scenarios, a week in advance, and score them on the same scale. These scenarios tend to separate these two products:

  1. Hire a remote employee in a state where you have no tax accounts yet.
  2. Terminate an employee and show every system and account that changes as a result.
  3. Pay a bonus off-cycle and correct a mistake after submission.
  4. Change benefits for a mid-year life event.
  5. Pull a headcount and payroll cost report by department.

Our free demo scorecard keeps the scoring consistent.
