Most HR software decisions aren't first purchases. They're replacements: a platform that fit at 40 people and doesn't at 400, a renewal that jumped, or a service model that stopped working. These guides start from the platform you have today and compare seven realistic alternatives for each, with honest trade-offs and a switching plan.
Every guide follows the same standard: alternatives chosen by fit rather than commission, editor ratings from a published rubric, the most common reasons teams leave, when it makes more sense to stay, a week-by-week switching plan, and pricing context you can take into a negotiation. Statistics come from named, linked research such as Capterra, Sapient Insights Group, and G2, and from public company filings where available.

Why companies switch HR software
Replacing an HR or payroll platform is disruptive, so most teams only do it when something important breaks. In our conversations with HR and finance leaders, five triggers come up again and again.
1. The company outgrew the platform
A system chosen at 30 employees often struggles at 300. Approvals, reporting, permissions, and multi-state payroll that never mattered suddenly matter every week. This is the most common and most legitimate reason to switch.
2. Renewal pricing jumped
First-year discounts expire, modules get added, and per-employee pricing compounds as you hire. A renewal quote 20 or 30 percent above budget is often what starts the search, even when the product works well.
3. Service stopped meeting expectations
Payroll mistakes are visible to every employee, and slow answers from a vendor turn small issues into trust problems. Teams that want a named contact often move to a provider or PEO with a higher-touch model.
4. The business changed shape
Hiring in new countries, adding a large hourly workforce, or acquiring another company can create needs the original platform was never designed for.
5. Too many disconnected tools
Separate systems for HR, payroll, benefits, time, and performance mean duplicate data entry and integration failures. Consolidating onto fewer platforms is a common goal, and a common reason to compare all-in-one suites.
If none of these apply, switching may cost more than it saves. Bring a competing quote to your renewal instead, and use it to negotiate.

Alternatives by company size
The right replacement depends more on your size than on which platform you're leaving. Here's how the options usually break down.
Startups and teams under 50
Simplicity and published pricing matter most. Teams leaving Gusto, Justworks, or a PEO such as TriNet usually compare Gusto, OnPay, Justworks, and Rippling. If you're hiring abroad, start with our Deel alternatives guide.
Small and growing companies, 50 to 250 employees
This is where most switches happen, as approvals, reporting, and benefits get more complex. Teams leaving BambooHR, Namely, or HiBob often shortlist Rippling, Paylocity, and HiBob or BambooHR. Talent teams outgrowing their tools look at our Greenhouse, Lattice, and Culture Amp guides.
Mid-market, 250 to 2,000 employees
Payroll depth, multi-state compliance, and service models drive the decision. Companies leaving ADP, Paychex, Paylocity, Paycom, or Paycor usually compare the others on that list, plus isolved, UKG Ready, and Dayforce.
Enterprise, 2,000 employees and up
Global HCM, reporting, and integration with finance systems dominate. Our Workday alternatives guide covers Oracle, SAP SuccessFactors, UKG Pro, and Dayforce, and our head-to-head comparisons go deeper on each pairing.
A 12-week plan for switching HR or payroll software
Most mid-sized switches fit into about 12 weeks when they're planned well. Smaller teams can move faster; enterprise HCM projects take much longer.
- Weeks 1 to 2: check your contract. Find the renewal date, notice period, and data export terms before you talk to anyone.
- Weeks 3 to 4: define the problem. Write down the two or three issues the new platform must fix, and agree them with finance and IT.
- Weeks 5 to 6: shortlist and demo. Pick three vendors and run the same demo script with each.
- Week 7: references and negotiation. Call two customers your size and get a three-year price with a renewal cap in writing.
- Weeks 8 to 10: implement. Migrate data, rebuild workflows and reports, and test integrations.
- Weeks 11 to 12: parallel run and go-live. Run at least one parallel payroll, reconcile it to the cent, and go live at a quarter or year start.
Questions to ask every vendor before you sign
- What will we pay in year two and year three, and is the increase capped in the contract?
- Who is our implementation lead, and what does the project plan look like week by week?
- Which of our current integrations do you support natively, and which need custom work?
- How do you handle payroll tax notices and amendments, and who calls us when something goes wrong?
- Can we export all our data, in a standard format, at any time and when we leave?
Before go-live, check final pay, new hire reporting, and paid leave rules for every state you pay in using our state labor law library, and model total cost per employee with the employee cost calculator.
