HR email templates

Company announcements email templates

Policy updates, organizational changes, recognition, and closures. 10 free templates, each with two versions, subject lines, compliance notes, and a branded PDF.

Company-wide emails are where HR's credibility is built or spent. People skim them on their phones, often between meetings, so the important part has to be in the subject line and the first two sentences. Announcements about change, such as a reorganization or a return-to-office policy, need extra care, because employees read them looking for what the change means for them personally.

These templates cover the announcements HR sends most often, from holiday schedules to new managers. Several connect to policies covered in our employee handbook guide and remote and hybrid workforce guide.

Before you send any company announcements email

These checks apply to every template in this category. They take a minute and prevent the mistakes we see most often.

  • The subject line says what changed and when, and it reads well on a phone.
  • Managers were briefed and can answer questions the same day.
  • Anyone personally affected heard the news privately first.
  • The effective date and any action required appear in the first three lines.
  • Employees without company email will get it through managers, texts, or posters.

Company announcements email FAQ

How far in advance should we announce a policy change?
Two to four weeks for most changes, and 30 days or more for changes to pay, benefits, schedules, or work location. Some states also require advance notice for specific changes, such as paydays.
Should company announcements come from HR or leadership?
Announcements about change, such as a reorganization or a return-to-office policy, should come from the leader accountable for the decision. HR drafts, coordinates, and briefs managers. Routine notices, like holiday schedules, can come from HR.
What's the best time to send a company-wide email?
Tuesday through Thursday mornings get the most attention. Avoid Friday afternoons and the day before a holiday, especially for news people will have questions about.
