How we write and review these templates
Every template in this library started with a real situation an HR person had to handle: a candidate who never heard back, a new hire who showed up at the wrong entrance, a payroll error that hit the week rent was due. We wrote each email the way an experienced HR generalist would send it, then cut anything that sounded like a form letter.
For messages with legal weight, such as background check notices, FMLA acknowledgments, warnings, layoffs, and final pay, we checked the compliance notes against primary sources, including the Department of Labor, the EEOC, the IRS, USCIS, OSHA, and the CFPB's Fair Credit Reporting Act materials. Where state and city laws differ, we say so and name examples rather than pretending one rule fits every state.
No software vendor paid for, reviewed, or influenced any template. You can read more about how we work in our editorial standards, meet the people behind the content on our team page, and see how we rate software in our methodology.
How to get the most from HR email templates
Templates save time and keep messages consistent, which matters more than most teams realize. When two candidates or two employees in the same situation get very different emails, it looks unfair, and in a dispute it can look worse. A shared library is a simple fix.
Still, a template is a starting point. Change the wording until it sounds like your company, add the details only you know, and send it from a real person whenever you can. Save your edited versions in your ATS, HRIS, or HR help desk so managers use the same approved language. Review them once a year, because pay transparency, leave, and final pay laws change often.
For anything involving discipline, termination, a complaint, or a background check, let HR or employment counsel read the final email before it goes out. Those messages often end up as evidence, and a calm, factual email is the best protection you have.
